Privacy statement Prospective Tenants
1. General
This Privacy Statement applies to the processing of personal data of prospective tenants by AHAM Vastgoed. We handle your data with care and in accordance with the General Data Protection Regulation (GDPR).

3. Which personal data do we process and for what purposes?
3.1 Identification and Contact DetailsWe may process the following information:
- Name, address, and place of residence;
- Email address and telephone number;
- A copy of a valid identity document (for verification purposes only; the Citizen Service Number will be obscured);
- Residence and work permits for prospective tenants from outside the EEA or Switzerland.
We process your contact details to communicate with you during the (rental) application process. We have a legitimate interest within the meaning of Article 6(1)(f) GDPR, as communication is not possible without this information.
All additional data is processed to comply with legal obligations (including, but not limited to, the Dutch Good Landlordship Act).
If you are selected as a tenant, we process the data for the preparation and performance of the tenancy agreement.
3.2 Financial Information
This may include:
- Salary slips (last three months);
- Employer’s statement or employment contract;
- For self-employed applicants:
- Chamber of Commerce extract;
- Income tax returns (up to the last three years);
- VAT returns for the current year (if applicable).
We process this information for:
- Assessing whether you qualify for a rental property;
- Conducting a clear, fair, transparent, and objective selection procedure;
- Preventing fraud and misuse of housing.
We rely on our legitimate interest as defined in Article 6(1)(f) GDPR, as this information is necessary to select the appropriate candidate for the property.
3.3 Household Composition
We may process information about your household composition solely to determine whether the property is suitable. This is based on our legitimate interest under Article 6(1)(f) GDPR to ensure proper tenant selection and assess potential co-tenancy.
If necessary, we may request proof of a long-term relationship, such as a marriage certificate, cohabitation agreement, or joint bank account. This serves to determine the composition of residents for co-tenancy, rental conditions, or required administrative permits.
4. Selection Procedure and Decision-Making
AHAM Vastgoed applies an objective and transparent selection process. Factors considered include:
- Order of application;
- Income requirements as stated in the property listing;
- Suitability of the property for the household composition;
- Applicable municipal conditions (e.g., housing permits).
No automated decision-making or profiling takes place within the meaning of Article 22 GDPR. All decisions are made by a staff member.
If a property is not allocated to you, you will receive a brief explanation.
5. Retention Periods
- Non-selected applicants: data will be deleted no later than 4 weeks after rejection.
- With consent for future rental opportunities: data may be retained for up to 1 year.
- Tenants: data will be retained in accordance with statutory retention periods after termination of the tenancy agreement.
6. Disclosure to Third Parties
Your personal data is processed only by AHAM Vastgoed and by service providers acting on our behalf, such as hosting and IT providers. Data processing agreements have been concluded with these parties in accordance with Article 28 GDPR.
We do not share your data with third parties unless required to comply with a legal obligation.
7. Security
AHAM Vastgoed applies appropriate technical and organizational measures to protect your personal data against loss and unlawful processing, as required under Article 32 GDPR.
8. Your Rights
You have the right to:
- Access your personal data;
- Rectification;
- Erasure of data;
- Restriction of processing;
- Object to processing;
- Withdraw previously given consent.
These rights are not absolute. We will assess your request in accordance with the GDPR.
Requests may be submitted via aham@aham.nl.
We will respond as soon as possible and in any event within one month of receiving your request. This period may be extended by two months if your request is complex or if we receive multiple requests. In such cases, we will inform you of the extension.
You also have the right to lodge a complaint with the Dutch Data Protection Authority.
9. Changes
This Privacy Statement may be updated. The most recent version is always available via AHAM Vastgoed.
